Research Data Protection Policy
Principles for access, use, confidentiality, and deletion of research information shared for an agreed service.
1. Research materials
Research information may include datasets, participant information, study protocols, unpublished results, questionnaires, and associated documentation. Clients should share only materials needed for an agreed service and confirm they have authority to share them.
2. Sensitive and personal data
Do not submit identifiable participant data or sensitive research materials through the public inquiry form. Before sharing, agree the purpose, access, transfer method, security controls, and retention terms. Ethics approvals, consent, and data-use restrictions remain the client’s responsibility.
3. Use limitation
Research data should be used only for the agreed work and not for unrelated purposes, publicity, model training, or disclosure without authorization. Research materials are not shared with an external AI tool or subcontractor without prior client authorization. Where AI assistance is authorized, outputs are reviewed by a person and use follows target journal policy.
4. Access and disclosure
Access should be restricted to people who need it for the service. Any permitted disclosure to a service provider or collaborator should be authorized and covered by appropriate terms. Third-party platforms are not controlled by Zenith Academia.
5. Retention and deletion
Research materials are retained only as long as reasonably needed for the agreed work and applicable legal or contractual duties. Clients may request return or deletion, subject to lawful recordkeeping and contractual needs.
6. Client responsibilities
Clients should remove direct identifiers when possible, use secure transfer arrangements agreed in advance, provide accurate data dictionaries, and promptly report any restriction or incident.
